Privacy Policy
Afterclose is software for licensed health insurance agents. It keeps an agent in touch with the clients they have already sold to: it holds the agent's book of business, shows their retention, sends the follow-up emails and texts the agent approves, and gives the agent a personal referral page. This policy explains what information Afterclose collects, how it is used, who can see it, and the choices you have. It is written for two readers: the agents who have an account ("agents" or "you"), and the clients and referred friends whose information an agent brings into Afterclose ("clients").

1. Who we are
After Close ("Afterclose", "we", "us") is the company that operates the Afterclose service, getafterclose.com and the Afterclose application. "After Close" is our legal name; "Afterclose" is the name of the service. We are based in Las Vegas, Nevada. Our contact details are at the end of this policy.
Two roles run through this policy. For the information an agent gives us about themselves, Afterclose is the business that decides how it is used (the "controller"). For the information an agent brings in about their clients and referred friends, the agent is the business or controller, and Afterclose acts solely as the agent's service provider or processor: we hold and process that information only on the agent's instructions and only to provide Afterclose to them, and we do not use it for our own purposes. In California's terms, Afterclose is a "service provider" for client information and the agent is the "business".
2. What Afterclose is not
Afterclose is independent software. We are not an insurance company, an insurance agency, or an insurance producer, and we do not sell, quote, underwrite or service insurance. We are not affiliated with, endorsed by, sponsored by or in partnership with any insurance carrier, with USHEALTH Advisors, USHEALTH Group or any of their affiliates ("USHA"), or with any agency or marketing organization. Where this site or the application names a carrier, a portal or a product, it does so only to describe what Afterclose works with. Those names belong to their owners.
Afterclose does not receive information from any carrier or from USHA. Every piece of client information in Afterclose was put there by the agent who holds the account, either by uploading a report they already have, by connecting an optional browser extension that reads a report from the agent's own portal session, or by typing it in. Afterclose does not have, and never asks for, an agent's carrier or portal password.
3. What we collect
From agents, when they sign up and use Afterclose
- Name, email address, password (held by our sign-in service in a form we cannot read), and the Afterclose email address the agent chooses.
- Profile details the agent chooses to add: title, business name, National Producer Number, mobile number, business mailing address, website, Google Business link and a photo. These appear in the signature of the emails the agent sends.
- Payment: the plan, the subscription status and the Stripe customer and subscription identifiers. Card numbers are entered on Stripe's own pages and never reach Afterclose.
- Choices and approvals: which emails the agent approved, when the agent took their account out of test mode, consent to texts from Afterclose, and agreement to our Terms.
- For agents who register a texting number: the business details the carriers require for that registration (legal name, tax identification number, address, website, a contact person, sample messages and how clients opt in). This is collected only to register the number and is sent only to the carriers' registration process through our texting provider.
About an agent's clients, brought in by the agent
- From the agent's book of business: client names, dates of birth, phone numbers, email addresses, mailing addresses, the policies the agent sold (product, carrier, member or policy identifiers, application, effective and paid-through dates, status such as pending, in force, lapsed or cancelled) and the premium.
- From the agent's day-to-day use: notes the agent writes, tags, consent records (how and when a client agreed to be texted or emailed), and the messages the agent and the client exchange through Afterclose.
- From carrier notices the agent forwards to Afterclose: the status change the notice describes and the identifiers that match it to a client and a policy.
From an agent's referral page
When someone fills in an agent's public referral page, we collect the referred friend's name and phone number, the name and phone number of the person who sent them, and an optional note. We also record the submitting connection's network address and browser type, to limit abuse of the page. By sending the form, under a sentence that says so next to the button, the friend agrees that the agent may call and text them about health coverage, including one automatic text confirming the form was sent and, if they book a call, one confirming the time. We keep that sentence as shown, the time, the network address and the browser type as the record of that consent. Nothing else automatic is ever sent to a referred friend, and they can reply STOP at any time. If they book a call, see section 10.
Automatically
Our servers keep standard logs (the address a request came from, what was requested and when, the browser type) and an audit log of who in Afterclose viewed or changed client information, which we keep to protect that information. Neither the public website at getafterclose.com nor the application uses advertising cookies, analytics services, tracking pixels or any third-party script; our content security policy does not allow them to load. The only cookie we set is the one that keeps you signed in, and it is set only when you log in.
4. How we use it
- To provide Afterclose to the agent: their book, their retention figures, their inbox, their referral page.
- To send the emails and texts the agent writes or approves, from the agent's own Afterclose address or texting number, to the agent's own clients. Every new account starts in test mode, where messages go only to the agent, until the agent turns automation on for their own account.
- To notify the agent about their own account, for example that a referral arrived or that a payment failed.
- To bill the agent's subscription through Stripe.
- To keep the service secure, to detect abuse, to honor opt-outs and to keep the records that the law and the carriers require of anyone who sends business texts and emails.
- To improve Afterclose, using aggregated or de-identified information that does not identify an agent or a client.
We do not sell personal information. We do not use client information to market to clients on our own behalf, and we never message an agent's clients except as the agent's tool, at the agent's direction and with the agent's approval.
5. Health information
The information agents hold about their clients can include details about health insurance coverage, which is sensitive. We treat it that way regardless of whether a particular law applies to it. In practice this means:
- Afterclose runs on Amazon Web Services under a Business Associate Addendum between Afterclose and AWS, and we use only AWS services covered by that addendum for client information.
- Client information is encrypted in transit and at rest, kept in a private network, and separated by account so that one agent can never see another agent's clients. We test that separation automatically on every change.
- We follow the minimum-necessary idea: text messages never contain plan, premium, health or claim details; emails carry only what the agent approved; the public referral page shows a friend's name and number to the agent and nothing else.
- Access to client information inside Afterclose is logged.
Whether HIPAA or a state health privacy law applies to a given agent depends on how that agent does business. The agent, not Afterclose, decides what to bring into Afterclose and is responsible for having the right to hold it and to contact the people it concerns. Where HIPAA applies to an agent and Afterclose acts as that agent's business associate, the business associate terms in section 4 of our Terms of Service apply from the moment the agent accepts the Terms at sign-up, before anything is uploaded. An agent who needs a separately signed agreement can ask us for one.
6. Who we share it with
- Amazon Web Services hosts Afterclose, stores its data, delivers its email and will deliver its text messages. AWS acts on our instructions under the addendum described above.
- Stripe processes agents' subscription payments. Stripe receives the agent's email address and a sign-in identifier so it can tell us who paid; it never receives client information.
- Google, only for an agent who connects a Google calendar: Afterclose writes the booked call, with the name, number and note the person entered, onto the agent's own calendar, as section 10 describes.
- Telephone carriers and their registration process receive the business details an agent submits to register a texting number, because the carriers require it before a business may text.
- The recipients the agent chooses: an agent's clients receive the messages the agent sends them, and those messages show the agent's name and contact details.
- When the law requires it: to respond to a subpoena, court order or lawful request, to protect the rights, property or safety of Afterclose, our agents, their clients or the public, or to enforce our Terms.
- In a sale or reorganization of our business, to the party that takes over, under this policy.
We do not share information with insurance carriers, with USHA, or with any agency, marketing organization, lead vendor or data broker. We do not share one agent's information with another agent, with one exception: a team leader who sets up accounts for the agents on their team may be the one who uploads those agents' reports, and in that case the leader can see what they uploaded.
7. Text messages
Texts from an agent to their clients are sent from the agent's own registered number and only to clients whose consent the agent has recorded, with the source and the time of that consent. Marketing consent and transactional consent are kept separate. Texts are sent only between 9 AM and 8 PM in the recipient's local time unless the agent narrows that window further. Replying STOP to any text ends texts from that number immediately and permanently unless the client opts in again; replying HELP returns the agent's contact details. Message and data rates may apply.
Texts from Afterclose to an agent (Afterclose account alerts) are about the agent's own account and referrals, for example that a referral arrived, and are sent from Afterclose's own toll-free number, (844) 996-1118, only after the agent ticks the consent box next to their mobile number in their Profile. Message frequency varies with account activity. Msg & data rates may apply. Reply HELP for help or write to support@getafterclose.com; reply STOP to stop them, or untick the box. Consent is not a condition of purchase. These texts are never marketing and are never sent to clients. The full program terms are in section 6 of our Terms of Service.
Mobile information is not shared with third parties or affiliates for marketing or promotional purposes. Consent to receive texts is not sold, rented or shared.
8. Email
Emails an agent sends through Afterclose come from the agent's Afterclose address or, where the agent has set one up, from the agent's own verified address, and replies go back to the agent. Every automated email the agent sends carries the agent's business mailing address and a way to opt out, and we honor opt-outs, bounces and complaints by stopping further sends to that address. Afterclose also sends agents the emails needed to run their account: a sign-in code, a receipt, a notice that a referral arrived.
9. The browser extension
Afterclose offers an optional browser extension that reads an agent's sales report from the agent's own carrier portal session and sends the rows to Afterclose, so the agent does not have to download and upload the report by hand. Using the extension is the agent's choice. The extension runs in the agent's own browser, inside a session the agent opened with their own login; Afterclose never sees, stores or asks for the agent's portal password, and the extension never sends anything to Afterclose other than the report rows and the identifiers that match them to the agent's account. The extension is identified to Afterclose by a key the agent makes in their account and can revoke at any time. The agent is responsible for making sure that reading their own report this way is permitted under their agreements with the owner of that portal.
10. Google calendar data
An agent can choose to connect a Google calendar so the people they invite can book a call at a time the agent is free. Connecting is optional, and nothing below happens unless the agent signs in with Google and approves it on Google's own screen.
What Afterclose gets from Google
- The email address of the Google account the agent connected, so Afterclose can show which account is connected.
- The names of the agent's calendars, so the agent can choose which ones count as busy and which one booked calls go on.
- Free and busy times on the calendars the agent chose. Afterclose sees only when the agent is busy, never the titles, attendees or contents of the agent's events.
- Permission to add, change and cancel the booked-call events Afterclose creates on a calendar the agent owns.
How Afterclose uses it
- Only to show the agent's open times on their booking page, to check again that the time is still free at the moment someone books, and to put the booked call on the agent's calendar with the name, number and note the person entered.
- Afterclose's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
- We do not sell Google user data, do not use or transfer it for advertising, do not use it to decide anyone's eligibility for credit or insurance, and do not use it to develop, improve or train generalized artificial intelligence or machine learning models.
- We do not transfer Google user data to anyone, except as needed to provide the booking feature the agent uses, to comply with the law, or as part of a sale or reorganization of our business with notice to the agent.
- No person at Afterclose reads Google user data, except with the agent's permission for a specific request, when needed for security or to investigate abuse, or when the law requires it.
How it is kept and removed
- The sign-in token Google gives us is encrypted and kept on AWS under the protections in section 11. Free and busy times are read when needed and are not stored.
- Afterclose keeps the id of each booked-call event it created, so it can change or cancel that event, and nothing else from the agent's calendar.
- The agent can disconnect Google at any time from the Booking page in Afterclose, or from the third-party access page of their Google account. When they do, Afterclose deletes the token at once and stops reading their calendars. Booked-call events already on the agent's calendar stay there, because they belong to the agent.
- When an agent closes their Afterclose account, their Google connection is deleted with it.
11. How we protect it
Encryption in transit (TLS) and at rest; a private network for the database and the application, with no route to the public internet from the parts that hold client information; one account's data invisible to every other account, enforced inside the database itself and tested automatically; least-privilege access for every component; an audit log of access to client information; sign-in through a dedicated identity service with passwords we cannot read; and every message path starting in test mode. No system is perfectly secure, and we cannot promise that information will never be accessed without authorization. If we learn of a breach that affects you, we will notify you as the law requires.
12. How long we keep it
We keep an agent's account and the information in it for as long as the account is open. When an agent closes their account, or asks us to, we delete or de-identify the client information in it within 90 days, except for records we must keep: the audit log, consent and opt-out records, the send log that shows what was sent to whom and when, and billing records, which we keep for as long as the laws on business messaging, tax and accounting require. Backups are kept for a limited time and then overwritten.
13. Your choices and rights
Agents can see and change their profile and their clients' records in the application, ask us for a copy of their book, revoke the extension's key, take back their consent to texts from Afterclose, pause or stop all automated sending with one switch, and close their account. To exercise a right you cannot exercise in the application, write to us at the address below. Depending on where you live, you may have the right to know what personal information we hold about you, to correct it, to delete it, to receive a copy of it, and to not be discriminated against for exercising those rights. We will verify your identity before acting and respond within the time the law allows. We do not sell personal information and do not share it for cross-context behavioral advertising, so there is nothing to opt out of on that front.
Nevada residents may submit a request to opt out of the sale of their covered information to the email address below, which is our designated request address under Nevada law; we will respond within 60 days. Please note that we do not sell personal information.
14. If you are an agent's client
If an insurance agent who uses Afterclose holds information about you, that agent is the one who collected it and decides how it is used; Afterclose holds it on the agent's behalf. To see, correct or delete your information, or to stop hearing from the agent, contact the agent directly: their name and contact details are on every message they send you, and replying STOP to a text or clicking the opt-out link in an email works immediately. You can also write to us and we will pass your request to the agent and help them carry it out.
15. Children
Afterclose is for licensed insurance professionals and is not directed to anyone under 18. An agent's book may include a client's dependents as part of a family policy; that information is handled as described above and is never used to contact a minor.
16. Changes to this policy
When we change this policy we will change the date at the top, and for material changes we will tell agents in the application or by email before the change takes effect. The version an agent agreed to is recorded on their account.
17. How to reach us
After Close, 2093 Lost Maple Street, Las Vegas, NV 89115. Email: support@getafterclose.com. Please put "Privacy" in the subject line.
Summary in plain words: your client information is yours. We hold it for you, encrypted, on AWS under a Business Associate Addendum, separated from every other agent's. We never sell it, never give it to a carrier or to USHA, and never message your clients except as your tool with your approval. You can take back the extension's access, your texting consent and your account whenever you like.
